Under the direction of the UME Administrative Manager of Educational Resources, this position is responsible for the administration of all aspects in relation to the operations of the Standardized Patient (SP) Program, as well as coordination of the Structured Clinical Skills sessions and administration and coordination of UME clinical assessments This position also supports other simulated clinical sessions internally and externally of NOSMU.

The Standardized Patient (SP) Program Coordinator works closely with the UME Theme 5 Chair, UME Theme 5 Content Coordinators, UME Instructional Designers, Educational Lab Coordinators, Objective Structured Clinical Exam (OSCE) Chairs, , Postgraduate Education Program Directors and Coordinators, Assessment Unit and Faculty to provide support, administration and direction with respect to the use of standardized patients and/or other simulation modalities for clinical skills learning sessions and assessments.

Responsibilities

Tasks include but are not limited to the following:

  • Collaborates with and supports NOSM educators and education programs in the administration and delivery of standardized patients and/or other simulation modalities. The SP Program Coordinator also collaborates with outside community stakeholders with their requests for standardized patient/simulations.
  • Coordinates the logistical planning, processes, and delivery for the UME Structured Clinical Skills sessions as well as coordinates and administers UME formative and summative clinical skills assessments.
  • Collaborates with the key NOSM staff and faculty to design, develop, implement and evaluate case scenarios, case checklists and standardized patient resources.  Serves as a SP mentor and educator to clinicians, staff and management team.
  • Collaborates with the Communication Unit for the development and maintenance of the Standardized Patient Program web page and to develop communication strategies for standardized patient recruitment.
  • Maintains professional skills and refine expertise through appropriate educational/development activities and professional affiliations, staying current with national and international advances in simulation and clinical skills activities.
  • Provides indirect supervision of the Standardized Patient (SP) Trainer and operational leadership and guidance to the OSCE crewmembers.
  • Recruits, interviews, conducts testing and hiring of potential applicants for the Standardized Patient Program. Develops and maintains policies, procedures and required forms related to the hiring and recruitment of Standardized Patients as well as other policies and protocols of the program.
  • Train SPs
  • Serves as a standardized patient when required.
  • Maintains a confidential database of standardized patients. Maintains confidentiality/privacy and handle issues discretely and with appropriate sensitivity with respect to student performance, SP performance, SP medical information, exam material and faculty concerns.
  • Provides support for standardized patients including assigning cases, scheduling, case training, ongoing coaching and direction, remediation, debriefing and application of moulage.  Manage SP complaints or concerns and determine resolutions.
  • Manage financial transaction in relation to payment of SPs for service, Provides recommendations for standardized patient annual budget.
  • Observes standardized patient encounters to identify and track areas of SP performance improvement and provides written and and/or verbal performance and professionalism evaluations.
  • Participates in various committees related to standardized patient program.
  • Prepares utilization reports and collects data from faculty and students to analyze the impact of the SP program on the learning process, identifies opportunities for improvement, innovation, implementation, and integration of the SP program.
  • Maintains membership on Theme 5 Committee, Phase 1 and 2 OSCE Committees, Phase 1 Committee and Association of Standardized Patient Educators (ASPE).
  • In collaboration with the UME Administrative Manager, determine the SP program priorities and goals and implement work plans.  Define, develop, implement and enforce policies, procedures, protocols and practice standards consistent with educational objectives of the SP Program
  • Promotes and markets the SP program to potential stakeholders outside of NOSM to develop a client base and liaises with community physicians for specific patient recruitment.
  • Performs other duties as assigned.

Qualifications

Education

  • A University degree in a relevant discipline (Education, Health Care, or Business Administration) from a recognized university with Canadian accreditation or an equivalent combination of education and experience is required

Knowledge, Skills and Abilities

  • A minimum of three (3) years of related experience in administration and/or program coordination/management is required.
  • Experience working as a SP is preferred
  • Knowledge of principles and methods of adult education
  • Knowledge of SP methodologies and standards of best practice.
  • Knowledge of basic medical terminology, human anatomy and operations of clinical equipment.
  • Experience with assessing applications, conducting interviews and knowledge of recruitment strategies.
  • Experience with performance evaluations
  • Demonstrated leadership abilities.
  • Proven experience in coordinating various tasks under tight deadlines and in extremely confidential testing environments.
  • Ability to compile, evaluate and analyze data using appropriate software.
  • Experience working with academic faculty is an asset.
  • Experience in development of policy, protocols, manuals, training guides and materials.
  • Previous acting experience would be an asset
  • Knowledge of moulage techniques
  • Experience working with high stake exams, asset
  • Demonstrated knowledge of computer systems, office software and AV systems (i.e. Windows, Internet, E-mail, Microsoft Excel, Word)
  • Knowledge of the Occupational Health & Safety Act and Regulations that apply to the work being performed.
  • Ability of establish and maintain effective working relationships with all levels or organization personnel, staff/faculty and students.
  • Ability to work independently and in a consultative and collaborative fashion with a variety of other units to further the school’s overall strategic objectives
  • An understanding of Indigenous and Francophone communities and their needs as it relates to medical education
  • Work within established organizational practices, protocols and policies

Language

  • Must be able to communicate effectively in English (verbally, written and comprehension)
  • French/Indigenous language skills would be considered asset

Working Conditions

  • Frequent periods of standing during sessions and exams. Interaction with employees, management, and the public at large
  • Working in a busy office environment with frequent interruptions

  • Available to flex hours of working, including evening and weekends.
