Reporting to the Vice President, Clinical Partnerships and Hospital Relations, the Associate Dean, Faculty Affairs – Clinical Sciences provides academic leadership to the clinical sciences faculty and serves as its principal administrative officer and official spokesperson. The Associate Dean is expected to foster collegial relationships with and between division members and with members of other divisions.

The Associate Dean functions in several capacities including representation of the Clinical Sciences faculty within NOSM University and externally, administrative oversight of clinical faculty, and directing clinical faculty resources for educational program delivery.

The Associate Dean oversees administrative matters and leadership related to the Office of Clinical Sciences, which is managed by the Director, Faculty Affairs.

The Associate Dean joins the President, Provost and Vice President Academic, the Vice President Administration and Chief Operating Officer and other Associate Deans as an equal member of the NOSM University Senior Leadership Group.

RESPONSIBILITIES

Clinical Sciences Divisional Representation 

  • Represents the University and provincial, national and international bodies, as appropriate.
  • Participates in the achievement and promotion of the strategic plan of NOSM University.
  • Provides strategic leadership and advice to the Vice President, Clinical Partnerships and Hospital Relations, Vice-President Research and Graduate Studies, Provost and Vice President Academic, and the President on all matters relating to clinical faculty.
  • In collaboration with the Section Chairs, fosters communication among the Division’s faculty, NOSM University Educational Programs, CEPD and Research portfolios, and administrators and support staff.
  • Facilitates the development and continual improvement of strategies to enable effective communication between clinical faculty members and the PCTA/Local Education Groups.
  • Works towards creating positive environments for learning and inquiry for faculty members that: Promote respect, collegiality, empathy and cooperation that support patient and learner safety, and support resources for faculty wellness.
  • In collaboration with other members of the NOSM University Senior Leadership team and clinical leaders across NOSM University affiliated sites, establishes a process for ongoing review and improvement of the work and learning environment at NOSM University.
  • Participates in Northern Ontario Academic Medicine Association (NOAMA) Board of Directors meetings (Academic AFP) as required.
  • Keeps abreast of important University issues that may directly affect academic activities of clinical faculty members.

Clinical Sciences Divisional Leadership

  • Is responsible for leadership development, supervision, mentorship and performance management of the Section Chairs.
  • Supports Section Chairs to foster communication among the Division’s faculty, NOSM University Educational Programs, CEPD and Research portfolios, and administrators and support staff.
  • Provides supervision to the Clinical Faculty Wellness Lead in the development of a Clinical Faculty Wellness program.
  • Provides supervision of the Clinical Faculty Mentorship Lead in the development of a Clinical Faculty Mentorship program.
  • Provides supervision of and direction to the Academic Registrant Lead, CSD Learning Environment Lead, and CSD Research Lead, and other Leads as needed.
  • Is responsible for the supervision, mentorship and leadership development of the Director of Faculty Affairs. Acts as chair and or moderator at meetings of the Division at regular intervals during the academic year to support Clinical Faculty to have the opportunity to participate in decision-making and the formulation of division policies.

Accreditation of Education Programs

  • Support the Section Chairs with the maintenance of standards in academic programs in accordance with accreditation requirements of the Committee on Accreditation of Canadian Medical Schools, College of Family Physicians of Canada, Royal College of Physicians and Surgeons of Canada and any other regulatory or accreditation bodies, as appropriate. Participates fully in relevant NOSM University accreditation processes, including monitoring compliance, providing required data, and on-site visits. Reviews, as requested by the Vice President or Associate Deans, materials for accreditation of all educational programs at the University.
  • Collaborates and/or designates a faculty member to work with curriculum planners of CEPD, UME, PGE Programs and other academic programs to ensure faculty input into ongoing refinement of curriculum goals, content, delivery and assessment.
  • Supports the appropriate representation of the Division of Clinical Sciences on University committees as required.

Budget/Finance/Human Resources

  • Maintains financial accountability for the operating budgets and provides input to the overall University budget as a member of the Senior Leadership Group.
  • Develops and maintains the annual budgets for the Clinical Sciences Division within CPHR which includes reporting and accountability to monitor and to make decisions regarding allocations.
  • In collaboration with Finance, provides annual reporting of costs, cost overruns, cost saving opportunities across the various elements of the Office of Faculty Affairs Clinical and Clinical Sciences Unit.
  • Participates as a member of the Budget Committee of NOSM University.

Administration of Clinical Faculty

Appointments

  • Reviews the credentials, experience and recommendations of the Section Chairs of prospective faculty and provides recommendations regarding appointments to the Vice President Clinical Partnerships and Hospital Relations.
  • The Associate Dean Faculty Affairs Clinical Sciences works with the Section Chairs to ensure appropriate standards for such appointments.
  • Supports the Section Chairs to orient, guide, mentor, and recognize the Clinical Faculty.
  • Supports the Section Chairs to recruit and retains high-caliber academic Clinical Faculty with a focus on fulfilling the NOSM University Social Accountability mandate, Vision, Mission, Values and Academic Principles.
  • Works with Academic Registrant Lead and the Section Chairs to assess the suitability of academic registrant candidates as well as monitoring current Academic Registrants performance and progress.

Reappointments

  • Supports the Section Chairs in their review of and recommendations regarding Clinical Faculty reappointments.

Clinical Faculty Performance

  • Supervises the CSD Learning Environment Lead and supports the review of complaints and issues related to Clinical Faculty performance and standing.
  • Supports NOSM U processes to investigate complaints concerning clinical faculty, identify remediation resources, and where necessary and implement disciplinary measures.

Clinical Faculty Evaluation and Promotion 

  • Ensures the coordination of mechanisms to enable the evaluation, and promotion of Clinical Faculty and ensures that Clinical Faculty members are informed about and assisted to work within the administrative functions and structure of the University.
  • Reviews the written assessment of Section Chair candidates with respect to promotion, and forwards recommendations to the Joint and Stipendiary Faculty Promotions Committee.

Continuous Quality Improvement & Advancement

  • Oversees regular reporting of fiscal status, program activity, quality measures and quality improvement for the Clinical Sciences Unit with the Director, Faculty Affairs.
  • Supports and actively participates in advancement strategy development and fundraising activities of NOSM University.
  • Continues to improve the image of NOSM University and seeks to raise the profile of NOSM University through participation in key activities intended to place NOSM University in high regard in the medical community locally and globally.
  • Informs clinical faculty as to education recommendations from the Truth & Reconciliation Commission Report for their proper consideration in faculty development and implementation of educational policy and curriculum, as applicable.
  • Maintains privacy and conducts their daily operational activities in an ethical manner.

Research

  • Supports research development in the Clinical Sciences Division and across the University.
  • Fosters the development of a research-rich, academic environment supporting the ongoing research efforts of NOSM University.
  • Reviews Research Approval Forms as necessary. 

OTHER RELATED TASKS

  • Performs all other duties as assigned by the Vice President, Clinical Partnerships and Hospital Relations.

QUALIFICATIONS

Education

  • M.D.
  • Must have a NOSM University Faculty Appointment or qualify, apply for and accept a Faculty Appointment in the Clinical Sciences Division at the rank of Associate Professor or Professor. Assistant Professors may be considered depending on qualifications.
  • Current licensure and membership in good standing with the CCFP, FRCPC, FRCSC or the international equivalent.
  • Current licensure and membership in good standing with the CPSO.

Knowledge, Skills and Abilities

  • Minimum of 5 years of directly related experience in Academic Administration is required
  • Proven career in medicine
  • Experience in public governance and fiscal reporting is not required but is an asset
  • Experience in management, supervision and leadership
  • Experience working with clinical faculty agreements is preferred
  • Knowledge of CPSO policy and process is an asset
  • Knowledge of OMA policy and process is an asset
  • English speaking, but ability to work in French as well is an asset
  • Experience with setting up and leading faculty mentorship programs is an asset.
  • Comprehensive understanding of clinical and non-clinical NOSM University faculty members, medical learners and medical school administrative issues.

  • Experience working with Francophone, Indigenous and rural faculty and communities would be an asset.

Language

  • Must be able to communicate effectively in English (verbally, written and comprehension)
  • French/Indigenous language skills would be considered asset
